New Partner Checklist
This is a CRUCIAL time for you and your new Partner/Affiliate/Broker Partner. The quicker you have your new partner COMPLETELY onboarded, the higher the chances of their success.
By being FAST and efficient… putting this speed on display, and setting this as a standard… the better your chances of them getting a case to the table quickly. Let’s not be the reason someone doesn’t start off quickly.
Use this checklist as a MUST-USE guide in getting them set up on the backside of things. This checklist does not include the personal training you and your Managing Partners should be giving them.

Be a Tour Guide… Not a Travel Agent.

A message from Britton Johnson to you.
Have your new partner with you either in person or on Google Meet where you have screen sharing ability with their initial setup of all of these tasks.
This should be done LIVE and WITH THEM and will take 2 to 3 hours effectively for Partners, 1 hour for Affiliates, and 15 minutes with your Broker Partners.
Having your associated Managing Partner with you is HIGHLY RECOMMENDED if applicable.
Ask them to silence their phones and have 100% focus on this meeting. Your time is valuable and they scheduled this in their calendar with you. More than likely, they will want to learn about product in this meeting. Keep this meeting strictly to its intended purpose so you aren’t giving them too much at first. You will be asked to schedule product and process training with them as soon as their training portal is complete.
A. Adding your new partner to Google Workspace (click here)

1. Check for open license or inactive users before spending $$$ on a new 3-year license. Vet this out please
2. Add new user – (first initial, last name) – You will need their alternate email and phone number to send the activation link. Input their info in their profile please.
2(a). Add them to your GROUPS, TEAM VIP (team@voluntarypartners.com) and the HiHELLO GROUP (cards@voluntarypartners.com) (this sets up their HiHello Business Card integration and will automatically send them an invitation.)
3. Update their profile photo by using this photo ——->
4. Have them login for the first time right then and there.
5. Have them download Google Meet, Sheets, Gmail app, Drive, Calendar.
6. Have them set up their email signature block right away. Keep it professional.
7. Open their Google Calendar WITH them and get detailed. Have them screen share. Show them their invitations to Monday Meetings, Friday Fundamentals, VIP Development Circle, and more. Show them how to create events, how their Google Workspace Calendar integrates with maps, google meet, and more. Show them how to accept/decline and create events. Teach them on how to use our systems like a professional but keep it to the basics.
B. Adding them to the TEAM TEXT MAGIC DISTRIBUTION

1. GO TO THIS CALENDLY LINK – This is an official meeting with Britton Johnson where they can ask questions about almost anything! Britt will welcome them to the team, and he wants to learn more about them so we can start off on the right track! Be sure that they use their new VIP Email address and cell phone number if they are a Partner. This will integrate in their VIP calendar and send them a text reminder 24 hours before the meeting. They will also receive the link to hear/watch the EQUIPPED Podcast prior to the meeting so they learn more about who we are, our beginnings, and what makes our culture so special.
1. GO TO THIS CALENDLY LINK – This is an official meeting with David Goddard where they can ask questions about what David can do for them! David will welcome them to the team and make them feel comfortable working with him. Be sure that they use their new VIP Email address and cell phone number. This will integrate in their VIP calendar and send them a text reminder 24 hours before the meeting.

F. RightNow@Work (VIP Training Portal) (Partners)
1. SEND THEM AN INVITE TO RIGHT NOW MEDIA/VIP TRAINING, LEADERSHIP, & SELF DEVELOPMENT PAGE (use this link) – Have your new partner login live and in front of you. You can “invite contacts” in the top left of the page. Simply add them with their VIP email address.
2. Give them a tour of the VIP Portal AND the RightNow Media Page and put ALL of the resources on display.

H. NEW CASE QUOTE REQUEST (Partners, Affiliates, AND Brokers)
1.TOGETHER… TODAY… and LIVE, COMPLETE a New Case Quote Request on a REAL prospect. (click here)
2. GIVE THEM A TOUR of what happens AFTER a New Case Quote Request is done. Show them an example of a real enrollment email that has been built from your built cases label. Show them what they can expect in 24 hours or so after completing a New Case Quote.
I. “DISCOVERY MEETING” form setup- (Partners)
1. GO TO THE ALL DISCOVERY MEETING FORM IN FORMS (CLICK HERE) – Edit the form and Add your New Partner to the dropdown field. Next, clone and edit the conditional formatting to email the agent when their name is selected. Publish.
2. GIVE THEM A TOUR of the DISCOVERY form. If they can’t get excited about this… then they need a defibrillator!
J. PartnerApp TOUR – (Partners AND Affiliates)
1. GO THROUGH THE PartnerApp WITH THEM – Teach them a high level overview of the PartnerApp. Have them save it to their desktop AND mobile device. Give them a brief tour.. Most of this learning will happen when a case is ready to implement. Focus on some of the DM Meeting tools and the Agent Resource Center
K. ServiceApp TOUR – (Partners AND Affiliates)
1. GO THROUGH THE ServiceApp WITH THEM – Teach them a high level overview of the ServiceApp. Have them save it to their desktop AND mobile device. Give them a brief tour.. Most of this learning will happen when a case is ready to service. Focus on how easy the Assurity Wellness and Assurity HR portal is!
L. GETTING APPOINTED FORM – (Partners, Affiliates and BROKERS)
1. GO THROUGH THIS FORM WITH THEM AND FILL IT OUT – Go ahead and get the ball rolling with this. Just an FYI, this is on the onboarding page too. They need their E&O Certificate Page and their Bank Information. An Advanced Commission option will be emailed to them 24 hours after this form is complete. If they do not have their E&O or a voided Check copy to upload, they will need to give those to the carriers later. Let’s just make sure this happens live and they get started.
M. CONTACT INFORMATION FORM – (Partners ONLY)
1. PARTNER CONTACT INFORMATION FORM – Please complete this so we have their information to send materials to. You will have this data also for birthdays, phone numbers, etc. This will also be posted in the PartnerApp so we can easily contact each other.
M. ROOKIE ROUNDTABLE FORM – (PARTNERS ONLY)
1. ROOKIE ROUNDTABLE REGISTRATION FORM – This is a VOLUNTARY class held on the last Friday of every month. If they are new, this is HIGHLY recommended and will significantly help your team’s culture along with their development.
N. RECAP – (Partners, Affiliates and BROKERS)
1. RECAP WHAT YOU HAVE GONE THROUGH WITH THEM!– Put the value of the time that you have spent with them on display. Your time is valuable. Now its time to bring value to them. This will give you instant credibility, grow a stronger bond with your team, and display EXPERT power.
2. LET THEM KNOW YOUR EXPECTATIONS – This is a business meeting. Set the standard for trainings (including the training portal), Monday meetings, and professional development. Let them know that they are in the big league. This isn’t a carrier rep path. Your goal is to help them save their renewals and have a lifelong career where THEY are in control, but a partnership is 100/100 not 50/50 and you are there for them.
3. LET THEM KNOW THAT THEY WILL MEET THE BOARD of DIRECTORS (Partners) – Let them know that they will be asked to stick around for a little while after the next Monday Meeting. We want them to meet our leaders so they see the bigger picture!
O. SCHEDULE Product & Process Training – (Partners, and Affiliates)
1. OPEN YOUR CALENDAR HERE – Schedule time with your Managing Partner (if applicable) AND your new Partner/Affiliate right now to set time for product and process training. Be sure that they know that David Goddard is there to help them on the back-end, but they need to know implementation steps along with solid product and UNDERWRITING knowledge.
2. ASSIGN THEIR ONLINE PRODUCT TACTICAL TRAINING HERE! – They will receive an email and the system will take them down a 10 module path.
